How to Share Your Product Data with Your Trading Partner

Suppliers whose trading partners have requested product data through ECCnet Registry can load their product data directly, or publish their product data to ECCnet via the GS1 Global Data Synchronization Network (GDSN).

Obtain a GS1 Licence

Only organizations with a valid GS1 Company Prefix Licence may participate in GS1 Canada services. Contact GS1 Canada at 1.800.567.7084 ext. 1 or email info@gs1ca.org for information about obtaining a licence.

Once you have a Licence, select one of the data sharing options below.


Now that your organization has taken the first step to engage in GS1 Canada services, to commence your data sync journey you will need to follow these 4 steps outlined below.

Option 1 - Publish directly to ECCnet Registry.

Step 1 of 4 – Identify the right person within your organization to get you started

The key to successfully getting started with ECCnet Registry is to identify an individual who will be responsible for loading your organization’s product data into ECCnet via ProSYNC.
Some key considerations to help select the right person:

  • Detailed knowledge of your product line catalogue. For example, a Supply Chain Manager would be a person ideally suited for this responsibility.

  • Someone who will be your “go to” person for an extended period of time. Try to avoid starting with one person then switching to someone else because this causes confusion, can slow down both the onboarding process as well as the ongoing product listing process with your trading partners.

  • Is knowledgeable regarding which trading partners will need access to your product line information and as such has the authority to publish product data to your trading partners

Once you have identified the right individual, this “Catalogue Captain” will connect with GS1 Canada, who will answer any questions you may have and assist in the onboarding process.

Step 2 of 4 – Organize and load your product data

Select the ProSYNC data loading option that best suits your need. Note that all ProSYNC loading options provide access to customer specific listing forms to streamline your listing process.

  • Basic Small Business Service – a browser-based service for small vendors with less than $5 million in revenue and limited to no need to load complex product information (for example variety packs).

  • Online Service – a browser–based service with advanced capabilities, allowing for larger catalogues, more complex product configurations and multi–user functions.

  • Advanced Service – more features and flexibility, allowing you to automate the flow of product updates directly from your systems to ECCnet Registry. Also includes automated processing options and multi–user functions.

Review the ECCnet Registry Attributes Guide to get an understanding of the attributes that you will be required to enter for each product. This will help kick off your internal data collection activity and prepare you for the process of getting your data into your ECCnet Registry product catalogue.

The amount of time it will take to load your data is dependent upon a number of variables:

  • How many products are you loading?

  • Will you be manually entering in the data or using an automated method? (Please contact us for more information on automated data import options).

  • Will one person be entering and approving the data or will you have multiple people working on this concurrently?

  • Do you have all the necessary product data available for your complete product line prior to beginning the data loading process?

Preparation will help reduce the effort involved and improve productivity, so remember to review our training module, review our technical documents and ask our experts!

Once you commence loading your product data into your ECCnet Registry product catalogue you may contact GS1 Canada to request a pre-certification review of your products. To perform this activity we ask that you load at least 10 products for our team to review.

Step 3 of 4 – Request Catalogue Certification

Data validation is a value-added service provided with ECCnet Registry. Data that you load is automatically validated by the system and manually reviewed and verified by our team of experts, who ensure that:

  • All fields are populated with the appropriate information

  • The required formats are adhered to

  • Product hierarchies are linked correctly and all hierarchies are loaded

To complete the Certification process you must load your full product catalogue that you’re trading partners are expecting, which our team will review. You must also complete the online education modules.
Once you have completed the online education modules you can request Certification of your product data in ECCnet Registry from ECCnetSupport@gs1ca.org.

  • If you operate in the Grocery sector, request FM2 certification

  • If you operate in the Foodservice sector, request FS3MN certification

  • If you are in Pharmacy, request RX2 certification

  • If you operate in the Medical Supply sector, request MS1 certification

In some cases you may be required to have a combination of certifications, based on the requirements of your trading partners.

Step 4 of 4 – Publish your product data to your trading partners

Now that you have loaded your data and have been Certified, you are ready to publish (send) your data to your trading partner (referred to as a Data Recipient).

You can find your trading partners within ProSYNC and publish your data. Refer to the Publishing Product Data Guide for detailed instructions.

For vendors with Foodservice, Grocery or Pharmacy Products in their Catalogue

Option 2 - Publish to ECCnet Registry from a GDSN data pool.

Contact GS1 Canada Industry Support Services at 1 800 567-7084 option #1 or info@gs1ca.org for support with loading your data into GS1 Canada GDSN, a GS1-certified GDSN data pool service, or for  next steps in publishing your data from your GDSN data pool to your trading partners in ECCnet Registry.

*Organizations publishing data to ECCnet Registry via the GDSN pay core data synchronization fees to their home data pool; there are no ECCnet Registry core data synchronization fees for organizations publishing to ECCnet Registry via the GDSN.
